Everything you need to know to get started as an organizer

Add tickets

Your event has been created. Next step: create a ticket for each category, distance or discipline of your event.

Step 1: Add Tickets

Go to the Events overview and click on the event for which you want to create a ticket. In the 'Tickets' tab, click the 'Add Ticket' button. Fill in a ticket name in the pop-up, for example, 'Participants', 'Volunteers' or '20 KM' and choose a price for the ticket. Leave the price field empty or fill in € 0.00 if the ticket will be free.

Step 2: Fill in the additional information

You have just created a ticket. Now you can edit all the extra optional details of your ticket. If you want, you can add basic information, such as an image, a description that will be displayed when purchasing the ticket, and instructions that will be shown in the confirmation email of your ticket.

Prices

You can update the prices and set promotions. With this option, you can set different rates at different times. For example, you can use this for early bird discounts or special seasonal prices. Each promotion can have its own maximum capacity.

You can also specify whether VAT should be charged on this ticket. The VAT rate will also apply to any promotions. View the price distribution to see the calculation. If you cannot set the VAT, navigate to the top right to your project settings and enter your VAT number at the bottom under your organization details. Then, you can set a VAT rate per product and ticket. 

Ticket Type

Sell your ticket as a Single ticket, Group ticket or Business ticket.

  • Single ticket: Assign each ticket to one person.

  • Group ticket: Assign a ticket to multiple participants. Set a group size and group price.

  • Businessticket: Transform your ticket into a businessticket to make the registration process easier for companies, especially in larger numbers. Businesstickets are not personalized during checkout. The main registrant receives a link that can be shared with employees so that each can claim their own ticket. Optionally allow companies to take a variable number of tickets and pay for them later by invoice.

Teams

Indicate whether participants with this ticket may create teams and join other teams.

  • Allow individual participants: It is not mandatory to participate as a team.

  • Allow the creation of teams: Participants may create new teams.

  • Allow joining an existing team: Participants may join teams created by others.

Restrictions

You can set a maximum number of registrations for your ticket. Once the number of registrations has been reached, the ticket sale will automatically stop.

Additionally, you can also set the maximum number of this ticket per order. In other words, the number of these tickets that can be ordered at the same time. Participants can place multiple orders.

If your ticket is only available for certain ages, you can enforce a minimum and/or maximum age for this ticket. This refers to the age at the start of the event. During registration, a date of birth field will automatically be displayed.

Protect this ticket with a code so that it is hidden in the checkout. Only people with whom you share the code can access this ticket by entering the code.

Time Slots

If this ticket is valid on specific days and/or times, you can specify that here. At the start of a time slot, it will automatically no longer be available. For each time slot, you can set a date, time, and optionally a title and capacity.
